Imagine the following scenario: you have been tasked with holding a meeting for your company. You have done it before. You know the culture, the people and you know the aim of the meeting. It’s all good until your boss or supervisor says to you ‘You need to pick a venue.’ Would meeting hall B not work?

Apparently not! When choosing a meeting location, there is much more to consider than whether the space has access to a coffee machine, which can make choosing the location daunting. However, there are some basic tips to help you identify the right meeting space for your presentation and here, you will be guided through them.

  1. All About Capacity!

Business meeting spaces need to be judged and assessed at first glance based on their capacity. So, you will need to see the guest list of who is going to be attending the meeting before you book the space. A well-chosen meeting room should be able to fit everyone comfortably, without being crowded, and, if you can, try to make sure that you have extra space to hand, just in case any last-minute attendees show up.

  1. Location

When you are given the freedom to choose a meeting space, it’s easy to think of somewhere that you would want to go for a meeting and choose that space. However, you need to consider all the other people who are going to be attending the meeting and consider how they will get to the location. Is it accessible via public transport? Can it be accessed at all hours of the day? Try to find somewhere that can be found easily on Google Maps, and be sure to send directions from the nearest train station, bus stop, or even airport.

  1. Adjustable Layout

The ideal meeting space will come with a layout that can be changed or adjusted as it needs to be.

This means that, ideally, you don’t want to book somewhere that has the seats bolted to the floor, as this can mean that those who attend the meeting will not have the option to move, or you will have to set up your presentation at an odd angle to be viewed. You will also want to ensure that you are positioned so that everyone attending the meeting can see and hear you well.

  1. Tech!

You will have your laptop, presentation set up, microphone, and lighting. You need to make sure that the meeting space can support the technology that you bring into it, and that all of the tech at the location works as you need it to.

  1. Amenities and Comfort

Last, but not least, consider making sure that your meeting attendees are seated in ergonomic, comfortable chairs and that there is easy access to a toilet and, if possible, the coffee machine mentioned in the intro. This will ensure that everyone is comfortable, refreshed, and able to divert their full attention to the meeting, meaning participation in the meeting and the outcome will likely be better.
